How agencies track client domain and SSL renewals

An agency managing 30 client sites is responsible for 30 domains and 30 or more certificates spread across a dozen registrars and hosts. Many of those domains are owned by the clients themselves. The usual result is a spreadsheet that's out of date within a month.

A system that works

  1. Inventory every hostname you're responsible for, including the www and apex versions, client email domains, landing-page subdomains and staging sites that clients use.
  2. Record who owns each domain: you, the client, or a previous agency. For client-owned domains, agree in writing who renews them.
  3. Monitor instead of checking. Expiry dates move every time something renews, so what matters is a warning when one is close, not a one-off check.
  4. Route alerts to a shared place, such as a team inbox or a Slack or Discord channel, so a holiday or a departure doesn't mean a missed renewal.
  5. Tell the client early. A "your domain renews in 30 days, is the card on file current?" email looks proactive. A "your site is down" call doesn't.

Start with a quick audit

Run your client sites through the free checker to see what's coming up:

Then paste the whole list into Lapse. It's free for 3 domains, $15/month for 50 with Slack and Discord alerts, and $39/month for 500.
